Role Introduction
Reports To: Marketing Manager Events
The Events Specialist sits under the Brand, Insights and Marketing Communication Department who will be responsible for supporting the Marketing Manager and the team closely on the planning and execution of the events. The Event specialist will be responsible for providing logistics support to all events in various aspects such as venues sourcing, collaterals, giveaway items, seating and flight tickets arrangement.
The Event specialist will also be responsible for ensuring the administrative functions run well for the team; as well as owning and running smaller scaled events when needed.
Key Responsibilities
Events Support and Service
- Work closely with Marketing Manager and the team on the planning and smooth execution of a successful event including the logistics arrangement
- Work with agency and production house for events set up, logistics execution, collaterals and giveaway items delivery
- Responsible for specific areas of key sponsorship events like VIP invitation, tickets distributions and guest list
- Provide support to flight and cargo booking, to ticketing and excess baggage enquiries, as well as financial arrangement for sponsorship related issues
- Collaborate with internal teams for communication arrangement
- Maintain an up-to-date event log sheets, event calendar and filing
- Assist the team with on-site support for all events requirement, as well as
prepare pre- and post-event evaluation reports for review
Events Management
- Project management of small scaled events when needed; and with minimum supervision, run a small scale event from the planning, negotiation with the production house to the final execution
Others
- Help with desktop research for new event & sponsorship requests
- Manage the spaneting roadshow seats usage calendar, maintenance and arrange related resources in supporting events requirement and facilitate stock management including events props in and out, manage inventory and storage
Requirements
- University Degree with emphasis in Event Management, Creative Marketing, Business Administration or Marketing Management
- Hands-on events spaneting experience is a must, with at least 3 years of relevant experience, agency background is welcomed
- Enthusiastic in and familiar with the key arts & culture, sports and entertainment events in town
- A team player, excellent interpersonal skills and sound experience in event and project management
- Strong organization, time management, ability to multi-task, work well under pressure and meet tight deadlines
- Able to travel overseas when required
- Flexibility to work on Saturdays and public holidays
- Sound knowledge of MS Office (Word, Excel, PowerPoint)
- Proficiency in written and spoken English and Chinese (fluency in Mandarin preferred)
