Purpose of Position

The Operations Logistics Specialist is a position within the FBO Operations Team, which is responsible for arranging seamless Owner and crew experiences at our FBO partners. We collaborate with other Flight Center Teams and external business partners to ensure the success of every mission. The Operations Logistics Specialist is responsible for support duties which include arranging airport reservations, hangar space, after-hours operations, and other duties as assigned.

Tasks and Responsibilities

Operational Decision Making & Flight Impact Assessment
Independently identify flights requiring operational review by analyzing schedules, weather forecasts, airport conditions, and FBO capacity to determine needed actions.
Utilize internal systems and operational tools to proactively detect flights impacted by weather, infrastructure limitations, or FBO reported issues, and determine appropriate next steps.
Assess the combined impact of schedule timing and weather conditions to recommend operational adjustments—including hangar needs, deicing requirements, and ground service readiness.
Weather Driven Operational Planning
Interpret aviation weather resources to evaluate timing of precipitation, frost lift, temperature changes, and other weather factors that may impact aircraft ground operations.
Determine whether deicing capabilities are available at the destination FBO and the timing required to support safe aircraft operations.
Develop and communicate mitigation strategies related to severe weather, including hangar acquisition, aircraft repositioning, and adjustments to ground handling plans.
FBO & Airport Issue Resolution
Recognize early indicators of operational problems reported by FBOs (e.g., ramp congestion, service delays, equipment outages) and initiate timely countermeasures.
Make decisions in situations with no available SOP, using operational judgment, research, and cross functional collaboration to determine the best course of action.
Resolve urgent airport infrastructure issues such as unavailable runway lighting or limited ground services by coordinating with internal teams and external partners.
Independent Research & Operational Problem Solving
Conduct independent research to gather missing operational details, verify FBO capabilities, and confirm airport limitations without relying on making outbound calls unless necessary.
Evaluate multiple variables—including aircraft type, airport environment, regulatory constraints, and weather timing—to make well informed operational decisions.
Act as the primary decision maker during evenings, nights, or weekends when limited support is available, escalating issues only when input is required.
Regulatory Coordination & Compliance
Manage slot confirmations, airport reservations, and required notifications to government agencies including TSA, FAA, and international authorities such as Canadian airport regulators.
Ensure documentation submitted to regulatory bodies is accurate, complete, and compliant with government requirements for arrival windows, reservations, or security protocols.
Maintain thorough understanding of operational restrictions—such as TSA DCA access rules, airport specific limitations, and government mandated arrival times—to prevent regulatory violations.
FBO Space Management & Meteorology Integration
Collaborate with Meteorology to assess FBO space constraints in relation to weather driven risks, determining whether aircraft need hangar protection, repositioning, or adjusted ground handling.
Monitor and forecast FBO capacity challenges during high volume or weather impacted periods and communicate impacts and recommendations to Scheduling and other internal teams.
Cross Functional Recommendations
Provide proactive recommendations to Scheduling and other Flight Center teams regarding weather delays, alternative FBOs, repositioning needs, and ground handling solutions.
Identify when an operational issue requires consultation and engage relevant internal teams for input, while retaining accountability for driving the recommended course of action.
