Job Description:
Overview

Supervise the HDQ Facilities operations by providing vital direction to ensure optimal functioning and maintenance of all building properties. Manage the roles of Mailroom, Reception, and Facilities team in all day to day activities.

Responsibilities
  • Manage and ensure accuracy and completeness of monthly “Rent Control” data for worldwide facilities.
  • Initiate work orders with Property Management to ensure all requests are handled accurately and in a timely manner.
  • Oversee facility maintenance dispatching and escorting vendors working in the building and guarantee a safe environment
  • Manage internal relocations, new hire seating and coordinate furniture reconfiguration.
  • Manage an updated employee location list in the Facilities database using Microsoft Access.
  • Submit all invoices, verify services rendered and/or products received, and secure Facilities Manager’s approval.
  • Maintain documentation and filing system for the facilities department.
  • Manage information related to Company equipment for local and remote locations (i.e. photocopiers, and postage metering equipment).
  • Oversee and coordinate off-site archiving.
  • Review and coordinate scheduled services as applicable to priority of functions.
  • Manage information related to building generators, transfer switches, and UPS systems.
  • Provide support and guidance to the facilities team (mailroom, reception, leasing and facilities) ensure efficient and effective operations.

Job Requirements:
Qualifications
  • Bachelor’s degree In Business Administration or related field or equivalent experience required
  • Minimum of 2 years of facility management related experience including supervisory experience
  • Demonstrated organizational and problem solving skills
  • Project management skills required to ensure multiple assignments are prioritized and completed with quality outcome in a fast-paced environment
  • Excellent oral and written communication and negotiation skills
  • Proficient in Microsoft Outlook, Word, Excel
  • Timely, dependable and professional

Salary Range: $59,500-$85,500
